Plan the visitor experience from arrival to reset
Map where visitors wait, enter the demonstration, speak to staff and leave. Show the full space needed by operating equipment rather than only its transport footprint. Keep waiting visitors within the approved booth plan and separate them from technical discussions. Agree who supervises the experience and how equipment will be reset between demonstrations.
Brief interactive equipment before choosing the layout
For a headset, simulator or screen-led presentation, describe the hardware, operator position and expected session length. Identify charging, network, cleaning and storage needs as applicable. Plan a clear handover between staff and participants, and provide a non-interactive explanation for buyers who want information without joining a demonstration.
Coordinate the booth with the assigned building
Send the confirmed OCCC building, hall and booth plan with the equipment schedule. Separate the structure and graphics from freight, material handling, power, network services and specialist equipment support. Check organiser requirements for the proposed activity before approving drawings, and agree installation, testing and handover responsibilities in writing.
What should you send for a proposal?
Request an IAAPA Expo booth proposal. Send your booth footprint in feet, confirmed building, equipment list and budget. Describe the visitor experience and staffing needs so the layout and service responsibilities can be agreed before production.
