Choose a New York rental around the sales conversation
A retail technology demonstration and a toy sample presentation need different layouts. For NRF, map the screen, demonstrator and buyer position together, including power and connectivity. For a sample-led show such as Toy Fair, group products by range, keep labels visible and provide space to handle a sample without blocking the aisle.
Test the footprint before approving the render
For a 10×10 inline booth, decide what must be visible from the aisle and where staff can speak to a buyer. If a 20×20 footprint is booked, compare separate demonstration and meeting zones. These are planning examples, not capacity promises: the open sides, product dimensions and event rules determine the layout.
Write a Javits delivery handover, not just a shipping address
Use the current event manual to distinguish the freight receiving destination from the exhibit hall. Record the delivery window, booth number, installer contact and outbound collection arrangements. Shipping, material handling and installation are different responsibilities; agree each one before releasing the shipment.
Compare rental proposals against the same equipment list
Ask for a USD scope covering the rented structure, graphics, sample shelving, screens, furniture and flooring. Identify internet, electrical service, material handling and other event-contractor charges separately. Check what changes if a product range, graphic or booked footprint changes after approval.

Confirm it in writing. Transport to a receiving destination is not the same as moving freight to the booth. Ask who orders and pays for material handling, electrical service, internet and installation, using the current event manual.
